March 26, 2013
Trustee Meeting

Present: Merritt Tetreault, Danielle Morrow, Ellie Chesebrough, Barbara VanReed, Barbara Grimes-Smith and Ann Carlsson.

Absent: Betty Holden and Joe Biagioni.

The meeting was called to order by vice-Chair Grimes-Smith at 7:06 PM.

Minutes for the February 26, 2013 meeting were accepted, with Lachapelle abstaining.

Treasurer’s Report
A CD held at Unibank will mature in May, 2013. Lachapelle can close out the CD, $8,000, within 30 days of its maturity date and will then turn it over to the care of the Town Treasurer.

Director’s Report
The website and blog were updated.

The Program Gwendolyn the Graceful Pig was very well received. At least 57 people attended and everyone loved it. The author read his story accompanied by approximately 5 ballerinas, aged 16-18. They did a great job!

Mike Greenslit has agreed to do a multi-week home brew program as a follow up to the single program he did several weeks ago.

Circ System:
Carlsson had forwarded to the Trustees the many of the emails that were circulating concerning the Evergreen circulation system to underscore the severity of dysfunction experienced on a daily basis. Chesebrough ask how many of the emails were from Library Directors. Carlsson explained that the responses were from the library workers using the system. Chesebrough asked if the library goes to the Users’ Council Meeting which would have Directors representing their libraries and provide insight into problems. Carlsson indicated that they would go to future meetings.

Thirteen responses came for the request for Friends membership which had been inserted in the Yankee Shopper in March. From these memberships came $410.

The Blackstone Valley Gardeners donated $150 to be used to purchase a Tower Hill Botanical Garden museum pass.

Old Business
Building Renovation
• Right of way/easement
Due to the absence of Biagioni, a report on the status of the right of way/ easement was postponed to the April meeting.
• Fundraising
Carlsson reported on her conversation with an acquaintance who fundraises professionally. He had mention several organizations to which a fundraiser should belong: The Partnership for Philanthropic Planning (/www.pppnet.org), American Council on Gift Annuities (www.acga-web.org), and the Association of Fundraising Professionals (www.afpnet.org). These organizations’ members adhere to ethics and standards which prevents from taking a percentage of the funds they raise. It was suggested that Biagioni should contact past Trustee, Tim Martin, for advice on how best to raise funds for the library expansion. Morrow noted the recent efforts by the Grafton Library to attain accessibility. She also mentioned Paul Brouillette’s thoughts on how to bond the library’s project without going for a debt exclusion vote. It was felt that inviting Ms. Brouillette to a library meeting to discuss the bonding idea should be done.
• Other
Tetreault expressed his concern with the involvement of the Buildings and Facilities Construction Committee in the Library project. A motion was made and seconded to ask the Selectmen to address the ramifications of rescinding the Building and Facilities Construction Committee control of the Library building renovation returning this control to the Library Trustees. The vote was unanimous.
There was also discussion on if it is permissible to approach the building projects in separate projects instead of as a whole.
Tetreault reported it is estimated that the sign would be installed by mid-April. He will contact Louis Tusino to see if he can provide help with GBI’s crane.

New Business

The next meeting is scheduled for April 23rd.

The meeting adjourned at 8:23 PM.
