Executive Session Minutes
Trustee Meeting

Present: Joe Biagioni, Barbara Grimes-Smith, Danielle Morrow, Ellie Chesebrough, Barbara VanReed and Betty Holden
Absent: Merritt Tetreault, Ramona Lachapelle and Ann Carlsson.

The Executive Session was called to order at 7:10 PM.

Morrow suggested that goals should be things that haven’t been done yet. Carlsson goals were all continuations. They also need to be measurable. Biagioni felt that using a theme of keep the library in the public eye would focus the group. Chesebrough read the Library’s Mission Statement:
The Simon Fairfield Public Library in Douglas, Massachusetts shall serve as a reference center, a resource for information, lifelong learning, and creative use of leisure time to all members of the community. The library shall be a starting place, a point of commonality, for the community.
It was felt that Biagioni’s suggested theme and the mission statement were complimentary.
After much discussion about various goals and objectives it was agreed to include:
• Host 4 adult programs and 2 teen/tween programs in the calendar year. Partnering with other area libraries and/or town departments will be viewed favorably.
• Change the message on the outside sign once each week.
• Create a monthly electronic newsletter which can be subscribed on the website, at the library, as well as other ways.
• Approach local banks, at least two local businesses and the Octoberfest Committee for donations.
• Update the long range plan.
All these goals are measurable.

It was felt that the Library Director should keep Trustees up to date on staff changes, continuous education efforts for staff and contact with area libraries and with town departments concerning cooperative programs through her monthly reports.

The schedule for the performance evaluation will begin with goal setting in February each year, review goals in October and draft an evaluation in November for presentation in January.

The Executive Session adjourned at 8:55 PM as did the initial meeting.
