Simon Fairfield Public Library
February 24, 2015
Trustee Meeting

Present: Joe Biagioni, Ellie Chesebrough, Danielle Morrow, Ramona Lachapelle, Betty Holden, Karen Boyle and Ann Carlsson
Absent: Merritt Tetreault and Barbara VanReed

The meeting was called to order at 7:10 PM.

Minutes for the December 30, 2014 meeting were accepted.

Treasurer’s Report
There was no Treasurer’s report.

Director’s Report
Amazon Prime will be recommended as a possible purchase for the new Director.

Adam Furno and others shoveled off the Library’s roof.

Robots on the Run was a successful program that was put on a DVD and may be run on Cable.

Attorney Edward P. Mone and his wife June from Boston donated $2,000 for historical American history books. Since this collection has become quite large, Carlsson indicated her intention to weed it. Holden suggested donating some of the weeded books to the school.

The appreciation of the painting of the adult reading room by Gail Bowen and her son, Doug, was noted.

Old Business
Building Renovation
It was moved, seconded and voted unanimously to award a contract to G & H for $1250 to draft an easement for the parking lot through the Credit Union and Petragla’s properties. Biagioni suggested making a temporary parking lot using gravel in the interim. No action was taken. It was noted that the Selectmen’s Meeting for March 3rd might be discussing the Library renovation project. It was also noted that the request submitted to Capital Improvement for the Library renovation was in error and needed to be corrected.
Personnel Overages update
An updated report on the Personnel Overages was distributed. It is approximately $3400+ over.
New Business
Carlsson presented an operating budget for the library for FY16 for $211,634. Some questions to Carlsson:
• Has there been a savings in oil this year? Carlsson did not know.
• Finance Director can make a change from one line item to another in like categories, for example, salaries. But to change from expenditures to salary a town meeting vote would need to be taken.
• What is the FY16 Municipal Appropriation Requirement (MAR); since the new Director will be earning less than Carlsson could not the materials budget be raised to the required 19% and include the increases Carlsson has suggested and keep the entire budget to the MAR requirement?
It was moved, seconded and voted to accept the budget as presented: 4 approved, 1 opposed, 1 abstained. Carlsson will email the FY16 MAR.

Library Director’s Search
The Search Committee has drafted an advertisement for the Director’s position. They will post it on the Mass Board of Library Commissioner’s website by March 1st. It was felt that publicizing in local newspapers might garner local qualified candidates who might not see the ad on the MBLC website. Barbara VanReed will be asked to draft a news release to be sent to local newspapers.

The next meeting will be March 24, 2015.

The meeting adjourned at 8:23 PM

Respectfully submitted,
Ellie Chesebrough, Secretary
