Simon Fairfield Public Library
September 22, 2015
Trustee Meeting

Present: Joe Biagioni, Ramona Lachapelle, Ellie Chesebrough, Betty Holden, Kate Anderson and Justin Snook
Absent: Karen Boyle, Danielle Morrow and Barbara VanReed.

The meeting was called to order at 7:10 PM.

The minutes for August 25, 2015 were accepted.

Treasurer’s Report
Lachapelle needs to talk to a specific person at the bank concerning an account. The report’s balances were accepted.

Director’s Report
• Sent 55 letters to the largest employers in central MA.
• Applied for numerous grants from corporate foundations.
• Approached surrounding banks, churches, and organizations. Visited many local businesses in person
• Created at tracking widget on the website.
• This month we raised $385.86. I expect this number to accelerate as charitable committees meet, word gets out via mass mailing and I continue to contact more organizations.
• Book Brunch with Michael Martino, September 26th at 10:30am. I need sign-ups fast or we are going to have to cancel it.
• Fall programming for kids is underway!
o Fall Storytimes
Mondays @ 10am: Ages 15 mos.-2 yrs.
Mondays @ 1pm: Ages 3-5 yrs.
Tuesdays @ 4pm: Ages 5-7 yrs.
Tuesdays @ 6pm: Ages 3-5 yrs.
Wednesdays @10am: Ages 2-4 yrs.
o Book Bunch
Thursdays @ 6pm: Grades 6-8.
o Lego Clubs
Wednesdays @ 3:30pm. Demand for the program has grown so that we have three rotating groups.
• October Book club for adults
o 13th @ 6:30pm. Norwegian by Night by Derek Miller.
There was an unexpected half day of school today. The library posted on the We are Dynamic Douglas Facebook page notifying residents when the library was opened to help parents plan for their children’s care during this time. It was a great success.
Old Business
• Building renovation.
 Architect meeting
Snook met with Charlie VanHoorhis and discussed revisions to the original plans. Included was removing the upstairs bathroom, moving all circulation activity to the basement, creating a storage space for children’s activities and programs, and making the adult area on the second floor modular and flexible letting its space adjust to its use. It was moved, seconded and approved unanimously the revised plans. Snook and Biagiano will present the revised plans to the Building Facilities & Construction Committee on September 23. VanHoorhis will draw the revised plans at no extra cost. The elimination of the one restroom upstairs saves approximately $30,000.
 PR strategy
Snook drafted a letter to be mailed to all Douglas residents. Town Administrator Guzinski provided some edits. It is a strong letter about the wants the library has. It was moved, seconded and passed unanimously to approve the mass mailing of this letter. The letter will be mailed before the Strategic Budget presentation on September 29th.
 Snook described a software product, Constant Contact, which is used to create newsletters. He feels there is a need in Douglas for an information hub and this could take a step in this direction. Chesebrough offered Friends funds to purchase the software. It was moved, seconded and passed unanimously to support the use of Constant Contact at the library for on-line communication efforts.
• Long Range Plan
The Long Range Plan required by the Massachusetts Board of Library Commissioners to be eligible for grants from them, was approved and signed by Biagioni. It had lapsed for several years.
• Technology
The library is now part of the C/W MARS network for Internet usage. Charter had become unreliable for both library and patron use. Wifi now works on a regular basis.
• Friends
The Friends will be hosting a book sale at the Octoberfest. Snook will provide an open house to attendees. Jerry Williams will host an event, Beat the Professor, which has Professor Williams playing multiple chess matches at once against any and all.

New Business
There was no new business.

The next meeting is scheduled for October 27, 2015.

The meeting adjourned at 8:15 PM.
