October 27, 2015
Trustee Meeting

Present: Joe Biagioni, Danielle Morrow, Ramona Lachapelle, Ellie Chesebrough, Betty Holden, Kate Anderson, Barbara VanReed and Justin Snook.

The meeting was called to order at 7:10 PM.

The minutes for September 22, 2015 were accepted.

Treasurer’s Report
There was no Treasurer’s Report.

Director’s Report
Capital Campaign
• We have received $1,580.54 in donations so far for October, bringing the running total of the revamped campaign to $2,139.40.
• Our total building fund accounts stands at $26,743.92, so we've passed the 1% threshold of the total renovation cost.
• We now have 14 individual and 4 corporate sponsors who have a vested interest in seeing this project come to fruition.
New Services about to launch
• Axis 360: a newer, better, more intuitive ebook platform to compliment Overdrive.
• BiblioBoard: an interesting digital collection of myriad things ranging from old films, historical documents, music, books, and comics. It organizes things into anthologies and collections that are fun to browse.
• EBL: it looks like a traditional academic database (it is powered by Proquest), but it has lots of cookbooks, technical guides, and other every-day reference resources.
• Commonwealth Catalog: CW MARS is going to switch from Virtual Catalog to the new network sharing service at the end of November.
Upcoming Programs:
• Thursday, October 29th @ 6pm: Pumpernickel Puppets presents Sir George and the Dragon.
• Tuesday, November 3rd @ 11am: Young Scientists starts. For the month of November, this will be a weekly hands-on enrichment program with STEM (Science, Technology, Engineering, Math) activities and a storytime for ages 3-5. Registration required.
• Thursday, November 5th @ 6:30: Greatest Book Club Ever: Stephen King's The Shining.
• Tuesday, November 10th @ 6:30pm: Adult Book Club: The Finest Hours by Mike Tougias.
• Thursday, November 12th @ 6:00pm: Young Reader's Club: Frostborn by Lou Anders.
• Tuesday, November 17th @ 6:00pm AND Thursday 19th @ 10:00am: Adult Coloring Club.
• Thursday, November 19th @ 6:00pm: Book Bunch: Shades of Gray by Carolyn Reeder.
• Thursday, December 3rd: Two slots remaining for Reading to Cooper.
Old Business
Building renovation
• Right of Way: An invoice which was generated by a firm engaged by Town Engineer Cundiff was signed (withholding $100 for the actual drawings) to pay for the right of way through the Webster Credit Union and Petraglia’s property. Snook will talk to Petraglia to assure everything is in order.
• Architectural Drawings: the drawings have been revised. Since there are smaller spaces at the library, larger spaces can be used in other areas in town, like the schools, senior center or municipal center. Staffing will not be a problem with one circulation desk.
Hunt grant application: Alcoa will not make a decision until June, 2016.
Friends: Octoberfest was great. Because of the inclement weather Snook suggested it be held inside the library which turned out to be a superior decision. Lots of people availed themselves of its warmth, book sale and “Beat the Professor” chess matches. The book sale yielded $373.33.

New Business
Snook reported that the newsletter, The Douglas Way, has 357 unique readers. He is also sending it to news agencies. He has requested all town departments to submit information.

The filling the vacancy caused by the resignation of Trustee Karen Boyle was discussed. It was felt that if this could happen at a joint meeting of the Trustees and Selectmen in December it would better serve the Library. Snook will contact Suzanne Kane to work on the particulars.

Snook will investigate replacing the book drop, which will include a new book drop, a used book drop, a library discarded book drop, a post office big box.

The Times & Standard clock needs to be fixed. A motion was made, seconded and passed unanimously to use $500 from the Simon Fairfield Trust Account to pay for the repair by a Grafton clockmaker.

Due to the upcoming holiday the next meeting is scheduled for December 1, 2015 and the December meeting will be December 29, 2015. The meeting schedule will return to the 4th Tuesday of the month in January.

The meeting adjourned at 8:31 PM.
