January 26, 2016
Trustee Meeting

Present: Joe Biagioni, Danielle Morrow, Ellie Chesebrough, Kate Anderson, Kevin Sughrue and Justin Snook.
Absent: Ramona Lachapelle, Betty Holden and Barbara VanReed.

The meeting was called to order at 7:11 PM

The minutes for December 1, 2015 were accepted.

Treasurer’s Report
There was no Treasurer’s Report

Director’s Report
Attendance for the weekly coloring for adults has tapered off quite a bit.
The reclassification project has indicated a 22% drop in the number of items the library had from this past June. As a result shelf space has reappeared. In the not too distant future the magazines will be moved back into the main library from the foyer.

Old Business
Building renovation: Neither property owner whose land leads out to Mechanic Street is willing to provide a right of way for patrons parked in back of the library. The library spent $1,200 for an engineering firm to draft a right of way for this purpose. Biagioni spoke on an alternative proposal to provide parking behind the library by using a porous surface. He estimated that if Highway could provide the labor, materials costs would be around $5,000. There was discussion of ingresses and egresses as well as berms. Biagioni will meet with Town Engineer Cundiff to discuss alternatives.

Book Drop: It is functioning and is a good replacement.

Clock: It is still being repaired

Friends: Flyers have been mailed for 2016 memberships.

New Business
Director’s Review: Trustees were instructed to complete their annual review for Snook using the Town’s form and forward it to Morrow who will summarize the results.

FY2017 Budget: It was moved seconded and approve Snook’s proposed library operating budget for Fiscal Year 2017. The Finance Committee will be reviewing the Library’s budget at its February 16th meeting.

Basement Proposal: Snook proposed moving the Friends books to the space under the foyer in the basement. It was moved, seconded and approved to spend $845.10 on shelving for the purpose of rearranging library supplies using Simon Fairfield Trust Funds.

Trustee Orientation: Chesebrough reported on the orientation for Anderson and Sughrue and a discussion concerning a Trustee advisory sub-committee.

Other: Chesebrough learned of an effort Governor Baker initiated in December which provides Municipal Modernization Legislation (Docket #4338). Section 55, if enacted, would change the required signatures for signing vouchers from a majority to one. This would streamline our process significantly.

Snook discussed staffing using a chart which showed the number of staff for each hour the library is opened.

The next meeting will be February 23, 2016.

The meeting adjourned at 8:30 PM.
