Trustee Meeting

Present: Joe Biagioni, Barbara Van Reed, Ellie Chesebrough, Kate Anderson, Betty Holden, Kevin Sughrue, Justin Snook, Betsy Dudley Youngsma and Rebecca Doyon-Lavallee.
Absent: Ramona Lachapelle and Danielle Morrow.

The meeting was called to order at 7:05 PM

The minutes for August 22, 2017 were accepted.

Treasurer’s Report
• Of a total municipal appropriation of $214,406 expenses to date are $46,372. Library private funds are currently $84,372.97.
Director’s Report
• The Music and Movement program by Deb Hudkins is well attended. Snook is using bank donations to fund more sessions which cost $55 each.
• The people door counter is one year old and visits can now be compare to the previous year’s visits. August numbers this year bested last year’s averaging 128 visits a day.
• A new Overdrive model from C/W MARS has some circulation issues as well as providing extra licenses for us.

Old Business
Building Renovation
• The parking lot had its first fill up today. The fence line has been marked and signs are on order. The backfill is in. It was asked if the Norway spruce trees could be purchased in the Spring using Southern Worcester Conservation District (SWCD) as a source. It was explained that the trees from SWCD are small and it would take several years for them to reach a height to shelter lights from cars as well as the library. It was also noted that these trees grow quickly and in their first year need to be watered on a frequent schedule.
• Accessibility Grant: Snook has re-applied for this grant. The application changed quite a bit from its initial offering. Snook is also looking into applying for grants Greater Worcester Community Foundation, Massachusetts Foundation for the Humanities, Worcester Historical, and the Webster Credit Union. It was also suggested to look into applying to the Douglas’ Octoberfest Committee for some funding.

Chesebrough is in the process of re-establishing the 501 (c) 3 tax exempt status for the Friends. Some annual tax forms had not been completed.

New Business
• Special Town Meeting
There is a Special Town Meeting scheduled for November 6, 2017. The Library has an article on the warrant to correct the budget deficiency for the total appropriated municipal income.

The next meeting is scheduled for October 24, 2017.
