May 22, 2018
Trustee Meeting

Present: Joe Biagioni, Ellie Chesebrough, Ramona Williams, Barbara Van Reed, Kate Anderson, Kevin Sughrue, Justin Snook.
Absent: Danielle Morrow and Betty Holden.

A quorum being present the meeting was called to order at 7:13 PM

It was moved, seconded and passed unanimously to retain the same slate of officers:
Joe Biagioni, Chair
Danielle Morrow, Vice-Chair
Ramona Williams, Treasurer
Ellie Chesebrough, Secretary

It was also moved, seconded and unanimously passed to delegate Barbara VanReed as primary signer and Ramona Williams as back-up signer for payroll and vouchers.

Minutes for March 27 and April 7 were approved. Although a meeting was posted for April 24th, none took place due to a meeting called by the Selectmen to address budget and override questions.

Director’s Report
Two chairs for staff at the circulation desk have been ordered through the town's account with Amazon. Chesebrough had suggested that the Friends could pay for these, but that the Friends would then have to pay the town back, the offer was removed. It was moved, seconded and passed, 5 for and 1 opposed, to pay $120 each ($240 total) for these chairs using funds from donations.
The two computers used for circulation need to be replaced with updated ones. It was moved, seconded and passed unanimously to spend no more than $1,200 from LIG/MEG grants for these upgrades.
On May 23 Mary Sughrue-Yacino will leader a nature hike through Cedar Swamp at Wallum Lake
On June 5 at 6:30 PM a local author gathering will take place at the Library
The Summer Reading Program, “Libraries Rock” is finalized with events posted on the website calendar and Facebook. Letters will be going home with students in the next week or two.
A new web client for C/W MARS will be transitioned to Memorial Day Weekend.
The Commonwealth eBook collection will be merged into Overdrive July 1. This merge will provide borrowers with less wait times.

Old Business
Building/Capital Projects
There may be a possibility to weatherize the Library's windows with funding supplemented with the Green Communities Act designation for Douglas. The town's Capital Committee may be requested to commit town funds to augment the Green Communities Act.

ADA accessibility was discussed and the need to identify funds from private donors. It was also suggested that our local Senator and Representative should be asked to introduce bills to the State budget for big ticket items.

The buffer trees in the parking lot may have been compromised by the cold temperatures in January. They will be monitored.

FY 2019 Budget
Snook feels the library's budget is stable for 5 years.

The Friends will have a meeting May 26, 9 AM to discuss ways to expend their funds.

New Business
Online Library Card Registration
Within a week of instituting online library card registration 20 new registrations came in.

Five-year Plan
Snook suggested a new 5-year plan for the library. He asked that Trustees bring their thoughts for this to the next Trustees Meeting.

The next meeting is scheduled for June 26 at 7:00 PM.

The meeting adjourned at 8:34 PM.
