DOUGLAS PERSONNEL BOARD
February 25, 2014
Members Present: Ellie Chesebrough, Kristen Stevens, BettyAnn McCallum

 MINUTES: Minutes from January 14, 2014, accepted as amended.
 RESIGNATION: The Board regretfully received a resignation from Debby Heinz. We will miss her and thank her for all the work she has done.
 MISSING JOB DESCRIPTIONS: After the job description template is amended and approved, it will be sent to the departments that still have missing job descriptions.
 CENTRAL STORAGE: Mike has approved putting Personnel Board info on the Town’s computer.
 COLA: Ellie informed Mike that we would like to have some input in the COLA recommendation.
 CLASSIFICATION AND COMPENSATION CHART: Ellie asked the Finance Director for a copy of the chart that will be presented at the annual town meeting.
 POSITION EVALUATION WORKSHEET: Kristen volunteered to upgrade this and make any necessary changes.
 POLICIES AND PROCEDURES: Ellie will ask Mike what the policy is now on suspensions—are employees suspended with or without pay? BettyAnn will work on Appendix D and the forms.
 VACATION AND SICK TIME: The present policy is that hourly employees can take vacation, sick and personal time in hourly increments. Salaried employees must take ¼, ½ or full days. All employees must fill out a time sheet. BettyAnn will get a copy of what salaried employees must fill out.
 COFFEE BREAKS: Should this be added into the policy book?
 WORK WEEK: Kristen questioned when the work week starts. BettyAnn informed her that it starts on Thursday.
 RETURNING TO WORK AFTER AN ILLNESS: The Board discussed whether or not a doctor’s note should be required after an employee is out sick and what the time frame should be. This will be revisited later.
 JOB DESCRIPTION TEMPLATE: BettyAnn will redo the template and present it at the next meeting.
 ANNUAL REPORT: Ellie submitted her report from the Personnel Board for the Annual Report.
 NEXT MEETING: Tuesday, March 25, 20l4. Ellie will post when she posts the agenda.
