Simon Fairfield Public Library
March 6, 2012
Trustee Meeting

Present: Ellie Chesebrough, Ramona Lachapelle, Barbara VanReed, Betty Holden, and Barbara Grimes-Smith.

Biagioni and Carlsson attended the Selectmen’s meeting.

The meeting was called to order at 7:25 PM

Using the grid designed by Grimes-Smith topics were addressed.

It was suggested that emphasis be placed on the renovation as being mandated.

Using the frames that had been bought for early design drawings display current drawings at the library

Library Website
Update the information on the website for the renovation that is listed in the left hand column at the bottom. The link to the plans has been installed. The renovation project needs a prominent place on the website. Video needs an easy link.

VanReed mentioned a service through the post office that does not require a bulk rate stamp. EDDM (Every Door Direct Mail) costs $.145 a mailing and may require minimum size. Chesebrough will investigate. Chesebrough had gotten an electronic voters’ list from the Town Clerk could not figure out how to open it into excel. She will continue to try to figure out if sending a postcard to register voters’ households will be less costly than using EDDM. It was suggested that a Tuesday may be the best day to get mailings to residents. May 1st would be the last Tuesday before Town Meeting and the election. It was suggested that parking be added to the post card and rewording for the first sentence.

It was suggested that endorsements be gotten from various groups in town like the School Committee, the teachers union, the PTO, the police union, and the like.

Cable video
It was felt that the video Tetreault had gotten done several years ago should be given to Cable to run on Channel 11from mid-April through May 8th.

Informational presentation
Book a time at the Municipal Center to present the project to the community. This can also serve as a rehearsal for Town Meeting.

Write an article for the 3 newspapers and submit soon because of their deadlines. Chesebrough plans to write a letter to the editor with her views of why libraries are important.

Informational displays
Caution was given concerning informational displays and their political nature. The vote is asking the taxpayer to spend their tax dollars and public/government locations may not accept them.

It was suggested that flyers be sent home with the school children.

It was suggested that flyers be handed out for several Saturdays at the Transfer Station.

Business letter
It was decided that the business letter not be sent out until after the votes, sometime late May or early June.

The next meeting was scheduled for March 20th.

The meeting adjourned at 8:55 PM

Respectfully submitted
